Distinguishing Characteristics:
Under general supervision, performs complex and skilled administrative work that requires excellent organizational and communications skills, and technical writing to support the Legal Department, the Office of the President/CEO, TAA’s Board of Directors and Members, and the various councils within TAA’s governance structure, and other departments, as assigned. Coordinates the planning and execution of official Tucson Airport Authority (TAA) meetings, forums, special events and other public corporate activities, including taking and transcribing accurate meeting minutes, and ensure the organized retention of associated records. Plans for and manages routine and non-routine administrative tasks, projects and actions supporting General Counsel or specific departments, as assigned.
Essential Functions:
The following functions and all other functions not included in this job description are to be performed in the best interests and for the greater good of TAA.
Consistently demonstrate a commitment to the TAA Cultural Fundamentals and the behaviors described therein.
In compliance with applicable law, and with rigorous attention to detail, schedule Board and Advisory Council meetings, prepare and issue public notification of all official activities and meetings (post notices), prepare agenda and agenda packets with an understanding of each agenda item; record, and prepare minutes for applicable meetings as a public record of official action taken; communicate with clarity and effectiveness with all appropriate stakeholders.
Maintain and update official Board, Councils, TAA Membership, and corporate governance documents
Responsible for the maintenance and organization, with complete accuracy, all TAA official meeting records, including agendas, materials, minutes and other records related to official TAA corporate activities and requirements.
Assist with records retention compliance according to State law and TAA policy related to all official TAA Member, Board and Council activities.
Communicate with and act as liaison between the Executive Vice President & General Counsel and the Office of the President/CEO, on all matters relating to membership, external partners, all federal, state, and local officials, and TAA executive and management staff.
If directed, serve PSPRS Local Board Secretary and assist with TAA PSPRS Local Board tasks and activities.
Serve as backup to the Paralegal in non-legal matters.
Serve as a Notary Public.
Assist in preparation of Department budget; coordinate payment of invoices and expenses; and track expenditures.
