Executive Administrative Assistant

This is a senior office administrative role providing direct support to the City Administrator. Provides administrative, information, and daily reception management support; manages scheduling, calendars, written and verbal correspondence; prepares presentations; is detail oriented and provides exceptional customer service support to staff and citizens, takes meeting minutes and is adept in technology.

• Manages daily calendars for City Administrator, demonstrating flexibility and problem-solving abilities to adjust or prioritize schedules based on last-minute changes
• Manages the City Administrator’s travel arrangements, information flow, and provides other administrative support functions as requested by the City Administrator
• Organize and prepare for meetings, including gathering documents, Arrange and reserve conference rooms, catering, audio/video and other essential services as needed for meetings and conferences
• Drive key team activities and events (such as all-hands meeting, team meetings, and conferences)
• Uses experience and judgment to resolve problems and prioritizes work on behalf of the City Administrator
• Prepares presentations and other staff presentations as directed by City Administrator
• Prepares internal and external correspondence and messaging as requested
• Reviews, screens, and disseminates incoming materials and correspondence
• Tracks and reports City Administrator and department due-outs and taskers
• Attends staff meetings and prepares accurate and timely meeting minutes and tracks associated taskers
• Provides reception area support by answering and screening phone calls and visitors, tracking issues and coordinating with appropriate departments for appropriate messaging
• Manages various special projects at the request of the City Administrator
• Maintains proficiency in the use of technology, including desktop and system software to meet administrative needs
• Routinely handles highly confidential information
• Performs other miscellaneous duties as assigned

• Possesses exceptional customer service skills. Ability to deal professionally and tactfully with other governmental agencies, community partners, residents, elected officials and the public at large
• Must Possess excellent verbal and written communications skills
• Must be well organized and have good follow-up skills and time management skills
• Ability to analyze and interpret guidance and disseminate information and messages internally and externally
• Must have time management skills and be able to prioritize to complete requirements or assigned duties in a timely manner
• Ability to research using data collection, analysis, and presentation strategies
• Must have working knowledge of current technology, software programs to facilitate information and record storage, analysis to report and retrieve information and data
• Must be proficient in Microsoft Office Suite and presentation design and set-up to include Power Point and other presentation programs

Work varies between sedentary office environment to physically active with occasional walking, standing, bending, lifting, carrying under 35 pounds, such as supplies, equipment, ice, coolers, etc.

• Minimum of 5 years relevant executive office experience in a Public Administration office environment
• Preferred candidate will have a bachelor’s degree in business or a minimum of 5 years relevant experience
